Learning and Development Assistant


Position: Learning and Development Assistant

Basic Function and Scope:

Responsible for administrative work in L&D department such as data input in SAP, invoices, training registrations, hotel bookings, guest house bookings, memo’s, letters and so forth. Assists trainees and developees Abu Dhabi based with all practical formalities.

Duties Performed:

• Receiving, distributing, storing, retrieving and archiving documents.

• Gives input to SAP HR module, for training conducted.

• Registration of participants in external courses in cooperation with training coordinator and L&D Specialist.

• Collect and prepares invoices in coordination with training coordinator in order to allocate the correct cost to each unit / department before sending to L&D Manager for approval. Forward invoices to Finance.

• Preparation for internal and in-house training courses in Abu Dhabi.

• Creates PR in SAP for all courses needed.

• Responsible to keep master copies (soft and hard) of all approved documents in L&D Department.

• Records all meetings in L&D department Abu Dhabi, and prepares MOM.

• Support L&D staff in Abu Dhabi with administration related to trainees, developees.

• Assist L&D staff in Abu Dhabi with collecting and analyzing course feedback forms, statistical reports related to training and development.

• Updates training catalogue in cooperation with Training coordinator and L&D specialist.




Work Contacts:

• Frequent contact with all L&D staff.
• External contacts with training agencies, facilitators and consultants.

Latitude:

• Reports to L&D Manager.
• Carries out responsibilities within the framework of established policies and procedures.

Physical Effort:

Outdoor: minimal, except walking / standing when visiting trainees, developees, and trainers at Ruwais site.
Indoor: Exposed to eyestrain when using PC.

Work Environment:

Normally air-conditioned environment. Exposed to eyestrain due to computer operation for 95% of the working time.

Minimum Requirements:

• Diploma holder in Business Administration.
• 2 years experience in administration.
• Fluent in English, writing and speaking.
• Intermediate level of all Microsoft office programs (Words, Excel, Powerpoint, Outlook).
